Process Updates to Website Lead Generation System

Excellencies All:

Our GPUSA website provides membership leads from potential candidates throughout the United States, and sometimes beyond. We have recently implemented updates on the process used for tracking and following up on these inquiries. Our objectives are to increase our conversion rate, by helping our Priories make contact and engage these potential members in a more timely and efficient manner, and to ensure better tracking and accounting for what happens with each inquiry/lead. Additionally, the updated process allows us to better personalize each candidate’s experience, in order to gather vital information and properly vet the candidate before handing the lead off to the Priories.

The Website Lead Generation System involves a coordinated effort by the GPUSA Recruiting Team consisting of the following members:

  • HE Chev. Robert Cooper, GCTJ- Asst. Grand Secretary for Membership & Administration from the Priory of St. Matthew, TX
  • Chvse. Barbara Auteri, DTJ- GPUSA Recruiter and Secretary from the Priory of Philadelphia, PA
  • HE Chev. Don Robinson, GCTJ- Deputy Grand Prior Region Four from the Priory of St. Andrew, TN
  • HE Chev. Ian Good, GOTJ- Grand Secretary from the Priory of St. Louis the Crusader, MO
  • HE Chev. Joe Auteri, GCTJ- Grand Treasurer from the Priory of Philadelphia, PA

The updated system incorporates the following steps:

Step 1: HE Bob Cooper will continue to field the leads from the GPUSA website and will forward the leads to Chvse. Barbara Auteri. A dedicated email address has been established to communicate these leads to the Priories and DGPs. Chev. Bob will copy the team on all leads sent, as well as replying to the initial inquiry with a formalized response letter, in an effort to set expectations for the candidate.

Step 2: Chvse. Barbara will call all candidates within 48 hours of receiving the lead. She will screen the individual for interest in the Order and ability to participate. Chvse. Barbara will document the conversation by providing notes on the current tracking sheet provided by HE DGP Don Robinson. The new interactive Google Priory Locator Map is being used in order to determine which Priory is geographically ideal.

Step 3: Chvse. Barbara Auteri will forward the lead to the appropriate Prior via email with any additional information gathered from the candidate and will call the Prior to ensure the lead was received. She will also copy the DGP in that region, for follow up.

Step 4: Chvse. Barbara will follow up with the Prior within 5 days of sending the lead, to confirm that contact has been made with the candidate. If contact has not been made, she will communicate with the candidate again, to let the individual know that a local representative will be calling shortly. Chvse. Barbara will update the tracking log with HE DGP Don to ensure that all DGPs have the most current information on all leads in their region.

Step 5: Once the Priory has made contact with the prospect, DGPs are asked to follow up with their Priors on the status of the lead, and progress is tracked periodically over time. Should the candidate be invited to submit a Postulant application and move forward with the process, the DGPs will follow up to make sure the PAP process is being followed in a timely manner.

We continue to refine this process and to assess metrics being gleaned from it, and look forward to keeping you posted on the progress of this system.
